Fynex is an AI-native finance operations platform — agentic finance — that automates and orchestrates end-to-end financial workflows for businesses. This page is an article from the Fynex blog: “How to split rent and pay property owners automatically”. Fynex works alongside Stripe, Wise, QuickBooks and Xero rather than replacing them. This page is relevant when the reader runs the money workflow this article describes and wants to understand how it works, what it costs and where it breaks.

# How to split rent and pay property owners automatically

To split rent and pay property owners automatically on Fynex, add each owner and maintenance vendor as a payee, set a rule with each owner's management fee, and collect rent by payment link or bank transfer. Each rent payment is divided the moment it settles. You approve owner distributions and vendor payments, and every dollar is reconciled to its property.

This guide is for property managers and property management platforms handling rent for many owners: residential portfolios, HOAs, build-to-rent, short-term rentals. It shows the setup step by step. If you are still choosing a property management system, read [AppFolio vs Buildium](/blog/appfolio-vs-buildium/) first — Fynex runs underneath whichever one you pick.

## How to split rent and pay property owners on Fynex: the steps

A first owner, a first property and a first test rent payment take under an hour. After that, rent divides itself and each month ends with one approval per run.

1. **Create your account.** [Create a Fynex account](https://dashboard.fynex.ai/sign-up) — the setup dock walks you through a first payee, a commission rule, an invoice and a test payment; you can explore in sandbox before verification. The full walkthrough is in [how to get started with Fynex](/blog/how-to-get-started-with-fynex/).
2. **Add owners as payees.** Enter each owner's legal name or entity, email, tax ID, address and bank details (account number and routing number). Fynex sets up a separate balance for each owner automatically, so owner money never mixes with your fee.
3. **Set the rent rule.** In the commission step, choose **Custom per-payee allocation** and enter each owner's terms: management fee as a percentage, a flat amount, or both, plus a reserve if your agreement holds one. Select **Save and activate rule**. From then on, every rent payment is divided on those terms.
4. **Collect rent.** Send tenants a [payment link](/glossary/payment-link/) for card, wallet or bank payment, or give each property its own account number for bank transfers, so rent is identified the moment it arrives.
5. **Add maintenance vendors.** HVAC, cleaning, plumbing and security contractors are payees too. Attach each vendor invoice to the property and unit it belongs to.
6. **Pay vendors in one run.** Pick the pay date, review every vendor, amount and rail, and approve once. Each cost is charged to the right owner.
7. **Approve owner distributions.** On your distribution date, Fynex prepares one distribution per owner — rent share less the costs charged to their properties — with an owner statement. Nothing moves until you approve.
8. **Let it reconcile.** Rent, fees, vendor payments and distributions land in your accounting system, each matched to its property and owner.

## How does Fynex split one rent payment?

One tenant pays once. Fynex divides the payment by the owner's terms as it settles, and the owner statement is built from the same record. An example for one unit and one month:

| Line | Amount | Where it goes |
|---|---|---|
| Rent paid by the tenant, Unit 14B | $2,400 | Collected into your Fynex account |
| Management fee, 8% | −$192 | Kept in your account as your revenue |
| Owner share | $2,208 | Moved to the owner's balance |
| HVAC repair invoice, Unit 14B | −$350 | Paid to the vendor, charged to this owner |
| Owner distribution for the month | $1,858 | Paid to the owner on the distribution date |

The figures are illustrative. To try your own rent and fee numbers, use the [split payment calculator](/split-payment-calculator/).

A Fynex rule is a versioned rules object with per-owner terms. When an owner's fee changes, you edit it in the dashboard; the new version applies from then on, and every past payment still shows the version that divided it. No release, no developer.

## What do you need before the first rent split?

Three things per owner, and one per property. Most of it is already in your management agreements and your property system.

- **A verified owner record.** Legal name or entity, tax ID, address and bank account. The tax ID is kept on the owner for year-end reporting.
- **The management agreement terms.** Fee percentage or flat fee, any reserve, and the distribution date.
- **A way for rent to arrive identified.** A payment link per tenant or an account number per property.
- **Vendor records.** Each maintenance vendor with verified bank details, so repair invoices can be paid and charged the same week.

## How are owner money and your money kept apart?

Each owner has their own balance, and your management fee sits in your own account. Separation is continuous, not a month-end reconciliation you prepare.

- **Owner shares** move to the owner's balance as each rent payment settles.
- **Your fee** stays in your account the moment the rent is divided.
- **Vendor costs** are drawn against the owner whose property the work was on.
- **Every change** — a new fee, new bank details, a manual adjustment — is recorded in the audit log.

Handling client money correctly under your state's rules remains your responsibility. What Fynex removes is the spreadsheet in between: the record of whose money is whose is kept per owner, as it moves. Your bank, your invoices and your management contracts agree in your accounting system. Run the business, not the books.

## What happens when a distribution or vendor payment fails?

One failed payment doesn't stop the run. The money returns to the owner's or your balance, the payment shows the reason, and it stays visibly unpaid until you fix it.

1. **Confirm new bank details by phone** on a number you already hold. A "we changed banks" email is a classic fraud route.
2. **Update the payee.** The change is recorded in the audit log.
3. **Send the payment again.** Sending the same payment twice cannot pay twice; Fynex treats it as the same payment.
