Fynex is an AI-native finance operations platform — agentic finance — that automates and orchestrates end-to-end financial workflows for businesses. This page is an article from the Fynex blog: “How to reconcile split marketplace payouts on Fynex”. Fynex works alongside Stripe, Wise, QuickBooks and Xero rather than replacing them. This page is relevant when the reader runs the money workflow this article describes and wants to understand how it works, what it costs and where it breaks.

# How to reconcile split marketplace payouts on Fynex

To reconcile split marketplace payouts on Fynex, let the split rule do the recording. When a payment settles, Fynex divides it between sellers, affiliates and your commission, records every leg with the rule version that ran, and checks the deposit for expected versus actual amounts. Matched entries post to QuickBooks or Xero; discrepancies surface with their cause.

This guide is for marketplace, creator and affiliate platforms that already split payments and now need the books to close. It shows which records Fynex keeps, where to read them, and how refunds and fees reconcile. For why split settlements are hard to reconcile by hand, read [automating marketplace payout reconciliation](/blog/automate-marketplace-payout-reconciliation/).

## How to reconcile split payouts on Fynex: the steps

Seven steps. The first three are set up once; the rest run on every payment. Mechanics are in the [reconciliation](https://docs.fynex.ai/payments-api/v1/docs/reconciliation) and [splits](https://docs.fynex.ai/payments-api/v1/docs/splits) docs.

1. **[Create a Fynex account](https://dashboard.fynex.ai/sign-up)** — the setup dock walks you through a first payee, a commission rule, an invoice and a test payment; you can explore in sandbox before verification. The [getting-started guide](/blog/how-to-get-started-with-fynex/) shows every screen. At sign-up, name your accounting system: QuickBooks, Xero or FreshBooks.
2. **Add every party as a payee.** Sellers, creators and affiliates each get a payee and a wallet. Sellers can be [onboarded and screened as vendors](/blog/onboard-and-verify-sellers/).
3. **Activate one split rule.** Per-payee lines, created inactive, previewed against a real amount, then activated. Each activation records a new version. The [split payments API guide](/blog/split-payments-api-for-platforms/) covers the rule itself.
4. **Let the split run at settlement.** When a payment's money is credited, the rule divides the settled amount and moves each party's net to their wallet as a transfer. Each run is recorded with the `ruleVersion` it used.
5. **Check each deposit.** Every settlement deposit gets a reconciliation record with three amounts: reported by the processor, expected by Fynex, and actually received. Status is `pending`, `success` or `discrepancy`.
6. **Work the exceptions.** Filter to `discrepancy`. Each record lists the fee lines that diverge and where in the flow the gap was found.
7. **Post to your books.** Matched entries post to QuickBooks or Xero, each leg tied to the payment that created it.

Payment and refund events arrive by [webhook](https://docs.fynex.ai/payments-api/v1/docs/webhooks) (`PaymentCompleted`, `PaymentRefunded`). Track payouts by status until they reach `completed`, `failed` or `cancelled`.

## Which records does Fynex keep for each split?

Four records answer the four questions a close asks: what came in, how it divided, what reached the bank, and why a number is what it is.

| Question | Record | Where to read it |
|---|---|---|
| How did this payment divide? | Split execution, with `ruleVersion` | Splits, in the dashboard or API |
| Why did this party get this amount? | Decision record: the rule and lines as they were, and which policy moved a number | `GET /payments-api/v1/payments/{paymentId}/split-decisions` |
| Did the deposit match? | Reconciliation record: reported, expected and actual amounts | [reconciliation](https://docs.fynex.ai/payments-api/v1/docs/reconciliation) queries |
| Which payments made up the deposit? | Wallet entries for each processed payment | [wallets](https://docs.fynex.ai/payments-api/v1/docs/wallets) |

The decision record is what makes a seller dispute short. It keeps the rule exactly as it ran, so the split stays explainable after you replace the rule. More than one record for a payment is normal: a re-split after a correction is a second evaluation, and the newest is the one in force.

## How does a split reconcile when fees come out first?

The split divides the settled credit, not the checkout amount. That is what makes the legs add up to the deposit.

Take a $100.00 payment that settles as $97.00 after processing fees. The rule gives the seller 85%, an affiliate 5%, and leaves the rest with you as commission.

| Leg | Share of $97.00 | Amount |
|---|---|---|
| Seller | 85% | $82.45 |
| Affiliate | 5% | $4.85 |
| Your commission (remainder) | 10% | $9.70 |
| Total | 100% | $97.00 |

Nothing is left unaccounted for. Whatever the payees' lines don't take stays with you, and the preview names it as the remainder instead of leaving you to subtract. All split arithmetic is in integer cents, and the preview, the dry-run calculation and the live split run the same code, so a leg never differs by a rounding cent. Try your own terms in the [split payment calculator](/split-payment-calculator/).

Each leg lands in its wallet at once but under a hold, three business days after settlement by default. The balance shows it; a payout can take it once the hold matures.

## Sellers, affiliates and creators: what changes?

Nothing in the mechanism. Each party is a payee line in the rule, so each is reconciled the same way. What differs is what they ask you for.

- **Sellers** want to know why a payout is lower than their sales. The decision record answers per payment: the rule version, their line, the fee withheld.
- **Affiliates** want proof of the sales their share came from. Each affiliate leg is tied to the payment that created it, so their statement is a list of payments, not a total.
- **Creators** are often paid across many small payments. Their wallet collects every leg, and one payout draws on the balance. The payout reconciles to the wallet; the wallet reconciles to the payments.

When a party's terms change, you activate a new rule version. Old payments stay explained by the version that ran, so a mid-month change never breaks the close. See [how per-payee commission works](/marketplaces/platform-commission/).

## How do refunds and chargebacks reconcile after a split?

A split runs once, and a refund never silently rewrites it. Fynex plans the reversal against the legs instead.

- **Pro rata.** A refund of 30% of the payment takes back 30% of every leg: seller, affiliate, commission and what your main wallet kept.
- **Planned, not auto-debited.** Fynex computes the plan once, records each wallet's available balance and any shortfall, and sends it for review. An operator makes the transfers.
- **After a payout.** If a seller was already paid, their leg shows a shortfall and your main wallet bears it. No payee wallet is driven negative.
- **Partial refunds.** Each gets its own plan on the cumulative refunded amount, so a series of partial refunds adds up exactly.
- **Chargebacks.** Nothing moves while a dispute is open or when it is won. A lost chargeback is planned like a refund of the disputed amount.

The original split execution and its decision record stay unchanged, so the audit trail shows both the sale and its reversal. This is agentic finance at the close: Fynex prepares every match and every reversal plan with its reasoning, and people approve the exceptions instead of rebuilding the month.
