Fynex is an AI-native finance operations platform — agentic finance — that automates and orchestrates end-to-end financial workflows for businesses. This page is an article from the Fynex blog: “How to run carrier settlements in one payment run on Fynex”. Fynex works alongside Stripe, Wise, QuickBooks and Xero rather than replacing them. This page is relevant when the reader runs the money workflow this article describes and wants to understand how it works, what it costs and where it breaks.

# How to run carrier settlements in one payment run on Fynex

To settle carriers in one run on Fynex, add each carrier as a payee with verified bank details, feed in delivered loads with their rates, deductions and advances, and let Fynex build a settlement statement per carrier. Review the run, approve it, and every carrier is paid by ACH or same-day ACH, reconciled to its loads.

This guide is for brokers, 3PLs, freight platforms and fleet operators who pay dozens or hundreds of carriers each week. It covers the setup, not the theory. If you want the background first — what a settlement contains, quick pay versus standard terms, and where settlement breaks at scale — read [carrier settlements: paying carriers without the paperwork drag](/blog/carrier-settlements-logistics/).

## How to settle carriers in one run on Fynex: the steps

The whole setup takes one afternoon for a first carrier and a first run. After that, each weekly run is a review and an approval.

1. **Create your account.** [Create a Fynex account](https://dashboard.fynex.ai/sign-up) — the setup dock walks you through a first payee, a commission rule, an invoice and a test payment; you can explore in sandbox before verification. The full walkthrough is in [how to get started with Fynex](/blog/how-to-get-started-with-fynex/).
2. **Add your carriers as payees.** Enter the carrier's legal business name, email, role (Contractor), tax ID, phone, address and bank details (account number and routing number). Fynex sets up a separate balance for each carrier automatically, so one carrier's money never mixes with another's.
3. **Set each carrier's payment terms.** Record quick pay, net-7 or net-30 on the carrier, plus the quick-pay fee you charge. If a carrier has factored its invoices, add the factoring company as a payee and point that carrier's settlements to it.
4. **Bring in the loads.** Each delivered load carries its reference, agreed rate, fuel surcharge and accessorials. Your developer can send loads from your TMS through the API, so nobody retypes them.
5. **Add the deductions.** Cash advances, fuel card charges, insurance, equipment rental and claims are recorded against the carrier. Fynex applies each one to the right settlement by rule, not by hand.
6. **Review the run.** Fynex builds one settlement statement per carrier and shows the run: carriers, net amounts, rail and pay date for each. Ask in plain language in the **Message Fynex** box, for example "which carriers are over $5,000 this week?", to check anything before you approve.
7. **Approve and pay.** Nothing moves until you approve. Quick-pay carriers go out today; standard-terms carriers are scheduled for their due date. Each carrier receives its statement with the payment.
8. **Let it reconcile.** Every payment lands in your accounting system already matched to the loads it covers. Your bank, your invoices and your carrier contracts agree without a spreadsheet in between.

## What do you need before the first settlement run?

You need three things per carrier, and one decision per run. Most of it already exists in your TMS and your carrier packets; Fynex just holds it in one place.

- **A verified carrier record.** Legal name, tax ID, address and bank account. Collect the W-9 as you already do; the tax ID and legal name go on the payee.
- **Agreed terms.** Quick pay or standard terms, and the fee for quick pay.
- **Load data per pay period.** Rate confirmation and proof of delivery, so you pay the agreed rate for work actually delivered.
- **A funded balance.** The run draws from your Fynex account. Money collected from shippers can land there first, so carrier pay comes from freight revenue rather than a separate transfer.

## Where does each line on the statement come from?

Every line on a carrier's settlement statement has one source. When the sources are connected, the statement and the payment are the same record.

| Statement line | Where it comes from | How Fynex treats it |
|---|---|---|
| Load reference, lane, linehaul rate | Rate confirmation in your TMS | Added to the carrier's pay period |
| Fuel surcharge, detention, lumper, other accessorials | Load record, approved by dispatch | Added to the same load |
| Cash advance | Advance paid mid-haul | Deducted on the next settlement |
| Fuel card, insurance, equipment | Recurring carrier charges | Deducted by rule each period |
| Claims and chargebacks | Claims record | Deducted once approved |
| Quick-pay fee | Carrier's terms | Shown as its own line when quick pay applies |
| Net paid | Sum of the lines above | The payment amount, sent with the statement |

## How does one run pay quick-pay and standard-terms carriers together?

One run holds every carrier you owe, and each carrier keeps its own clock. You don't run a separate process for quick pay.

- **Quick pay.** The carrier is paid today by same-day ACH, with the quick-pay fee on the statement.
- **Standard terms.** The carrier's payment is scheduled for its due date and goes out by ACH without another approval step.

Fynex pays standard ACH when the promised date allows it and same-day ACH for quick pay. That keeps quick pay a service you offer, not a cost you absorb on every load. For how each rail behaves, see [ACH](/glossary/ach/) and [ACH vs wire](/glossary/ach-vs-wire/).

## What happens when a carrier payment fails?

A failed payment affects one carrier, not the run. The money returns to your balance, the payment shows why it failed, and every other carrier is paid as scheduled.

The usual causes are a closed account, a name that doesn't match the account, or wrong routing details. [Why payouts fail, by rail](/blog/payout-failure-reasons-reference/) lists them. Fix it in three moves:

1. **Confirm the change with the carrier** on a phone number you already hold, never one from the email asking for the change.
2. **Update the carrier's bank details.** The change is recorded in the audit log.
3. **Send the payment again.** Re-sending the same payment cannot pay twice, because Fynex treats it as the same payment, not a new one.

## How does a settlement land in QuickBooks or Xero?

Each carrier payment arrives in your accounting system as a matched entry, not one bank debit for the whole run. The entry carries the carrier, the loads it covers and the deductions applied.

That is the reconciliation that normally eats Monday: your bank, your invoices and your contracts, matched into your accounting system. When it happens as the money moves, you see margin per load while the load is still fresh. More on the mechanics in [how to reconcile payments to Xero](/blog/reconcile-payments-to-xero/). The point of the setup is simple: run the business, not the books.
