This Privacy Policy explains how Fynex (“Fynex”, “we”, “us”, or “our”) collects, uses, and protects your personal data when you visit our website, talk to us, or use our services.

We keep this short and in plain English. If anything here is unclear, email us at privacy@fynex.ai and we’ll explain it.

Who this applies to

This policy covers people who visit fynex.ai, fill in a form, email us, book a diagnostic or demo, or otherwise interact with Fynex. If you use the Fynex platform under a separate agreement, that agreement and any data-processing terms in it also apply.

What we collect

We only collect what we need:

  • Information you give us. Your name, work email, company, and anything you tell us in a form, a demo request, a booking request, or an email — for example, your team size, payment volumes, or what’s blocking you.
  • Usage and device data. When you browse the site we automatically collect technical information such as your IP address, browser type, device, pages viewed, referring page, and how you move through the site. We collect this through cookies and analytics tools only where allowed by your choice — see our Cookie Policy.
  • Communications. Records of messages, calls, and meetings you have with us.

We do not knowingly collect data from anyone under 18, and the site is not aimed at children.

How we use it

We use your data to:

  • respond to you, set up your diagnostic, demo, or booked call, and provide our services;
  • record and manage form submissions, demo requests, and booked calls in our customer systems;
  • understand how the site is used and improve it;
  • send you updates or marketing where you’ve agreed to receive them (you can opt out at any time);
  • keep the site secure and prevent fraud or abuse; and
  • meet our legal, regulatory, and compliance obligations.

We rely on these legal bases: your consent (for analytics cookies and marketing), our legitimate interests (running and improving our business and securing the site), performance of a contract (delivering services you’ve asked for), and legal obligation (where the law requires it).

Analytics, forms, and scheduling

We use analytics tools to understand how people find and use our site, so we can make it better. These tools may set cookies and collect usage and device data:

  • PostHog — product and website analytics. PostHog helps us see which pages and features are used, so we can improve them.
  • Google — we use Google analytics and measurement tools (such as Google Analytics) to measure traffic and the performance of our marketing.

When you submit a form or request a demo, we may send the details you provided to HubSpot so we can respond and manage the relationship. When you choose to book a call, we use Calendly to show available times and process the booking. Calendly is loaded only after you press the scheduling button.

Who we share it with

We don’t sell your personal data. We share it only with:

  • Service providers who help us run the business — for example, analytics (PostHog, Google), CRM/form handling (HubSpot), hosting, email, and scheduling tools (Calendly) — and only what they need to do their job;
  • Professional advisers such as lawyers, auditors, and accountants;
  • Authorities or regulators where we’re legally required to; and
  • A buyer or successor if our business is sold or reorganised.

Some of these providers are based outside your country. Where we transfer data internationally, we use appropriate safeguards (such as standard contractual clauses) to protect it.

How long we keep it

We keep personal data only as long as we need it for the purposes above, or as long as the law requires. When we no longer need it, we delete or anonymise it.

Your rights

Depending on where you live, you may have the right to access, correct, delete, or port your data, to object to or restrict how we use it, and to withdraw consent at any time. To exercise any of these, email privacy@fynex.ai. You also have the right to complain to your local data protection authority.

Security

We use technical and organisational measures to protect your data, including encryption in transit and access controls. No system is perfectly secure, but we work hard to keep yours safe.

Changes to this policy

We may update this policy from time to time. When we do, we’ll change the “Last updated” date at the top, and for material changes we’ll give you clear notice.
